If you receive notification from your clients that your ETZ emails are not reaching recipients, please ensure they are also checking their junk folder. If the email is not in junk, it will be getting stopped in quarantine at your clients end. The reason emails get caught in quarantine is the encrypted link which is included in timesheet authorisation emails when Assignments are set to 'ETZ Sign' (this is a one click link where authorisers sign a timesheet) email security systems such as Microsoft Defender see these email as potential spam and they get blocked.
This is beyond the control of ETZ, It is the responsibility of your Clients IT Administrators to resolve this in their system, unfortunately, ETZ cannot resolve this on behalf of your Clients but we can provide advice to assist your Clients IT Administrators. The steps given below are an example of how to resolve the issue in Microsoft Office 365. It is essential that your Clients IT Administrators take steps to release the quarantined emails, whitelist/mark the sender as a safe sender and report to Microsoft -
- Navigate to M365 ADMIN CENTER > SECURITY ADMIN CENTER > ACTION & SUBMISSION > + SUBMIT TO MICROSOFT FOR ANALYSIS.
- Following this process is the only way to stop emails being caught in your clients quarantine systems. The steps will need to be done each time an ETZ is stopped in quarantine.
The long term solution is to switch all Assignments away from 'ETZ Sign' and use the 'Online' option instead. 'Online' is where authorisers login to a portal to sign timesheets, see screenshot for reference:
After changing the assignment, to to Client User Entry>Find the authoriser and click yellow pencil to access their account> Ensure 'Login Allowed' is ticked and save the changes>Send the invite to the authoriser:
NOTE: If your client is blocking ETZ emails they may not receive the invite, therefore please contact ETZ Support via your Basecamp Project and provide the authorisers full name and email address, we will then set up the account and give you the login details to pass to the authoriser.
As a work around to get adhoc timesheets signed urgently, you can copy the timesheet link and send it to the client outside of ETZ. to do this go to Dashboard>Reports>Other Reports>Recent Sent emails>Add recipient email address>View report>Scroll to the right and copy the link:
