This article will discuss the time-spans used to produce Timesheets.
First, navigate to the ‘Reference Data’ menu and then ‘Timesheet Timespan’.
Here, you will see a list of the time-spans that currently exist on the system. Next to one of the time-spans is a blue identifier stating ‘Default’, identifying it as the time-span used by default when creating new assignments. It is possible to change this by clicking on ‘Make default’ next to the relevant line.
It is also possible to view a list of all current assignments using each time-span by clicking on the ‘List Assignments’ button.
The standard time-spans are Weekly, Calendar Monthly and Fortnightly. These are fixed and cannot be amended.
There is, however, the option to add custom time-spans, which is done by entering a description for the new span in the text box showing ‘Template Description’ and then clicking ‘Add template’.
The time-span will be created but an amber warning message will be displayed stating that there are no Timesheets associated with the time-span.
Click the Edit button on the template and you will be able to start adding in the dates of each Timesheet within the template as follows:
Enter the Start Date and End Date for each Timesheet and then click ‘Add’ to write those dates to the list. When you have finished entering dates, click ‘Save’. A confirmation message will then be displayed to ensure you are happy with the configuration before accepting, since it is not possible to amend them afterwards.
Now your new template will be available to select from the Assignment Entry area:
Please be aware that with any custom Timesheet time-span you must maintain the dates - the system will not do this automatically. When a custom template is running low on dates, the system will prompt you when you go to the Assignment Entry area:
Click on ‘Update timesheet templates’ and the system will direct you to the ‘Timesheet Template’ area where you will be able to select the relevant template and provide it with some additional dates, as required.
