The Incoming Timesheet Images feature allows timesheet images to be emailed into the system using a special email address set up on your Etz site and the resulting email image will be visible in the Incoming Images area, ready to be validated. Designed primarily for those candidates who do not have access to the candidate portal, this option can be used by any candidates but of course if they do actually have access to the portal it makes sense for them to enter their units and use the Upload option to attach their timesheet image. Timesheets can be photographed using a smart phone and the image emailed to the system.
You will need to advise Etz support that you would like this free feature enabled on your site and they will be able to configure it for you. Firstly before you can use this option you will need to think of a suitable email address for your site. All emails must end in '@timesheetz.net' and we advise your email address should incorporate your company name in some way, for example 'payzte@timesheetz.net'. Once in place your site email will be visible on the Agency Info page of your Agency Details:
Once in place, your candidates will be able to email images into the site using the email address.
The attached file formats types accepted by Etz are TIF, JPG and PDF.
These images will appear in the Incoming Images area, in the same way a Faxed Back or Uploaded images do.
We have three options which can be selected to determine the information included in the document.
Attachments only - Only the attachments on the email will appear in the list, all other emails will be rejected.
Email Body and Attachments - Both the body of the email and the attachment will appear in the list as separate documents.
Concatenate Body And Attachment - The body of the email and the attachment will appear in the list as one document with multiple pages, only the first page will appear on the thumb nail.
This email address can also be included on the Timesheet as below:
Please let us know if you would like this option activated.
