There are three methods of invoice delivery available, (1) Email with a PDF, (2) Post and (3) Email as a link. The appropriate option should be set for each client within their Client Entry in the Invoice Delivery > Delivery Mode section:
Here is how they work:
Email as an attachment
This option will utilise the email address (or addresses if more than one are entered) in the Email field of Invoice Delivery and will email the recipient with a PDF attachment which contains the invoice(s). It is worth noting here that this method of delivery cannot be tracked - we can guarantee the email has left our mail server but cannot guarantee if and when they receive it. Most get through of course, but occasionally the recipients mail server may deem the attachment a risk or perhaps too large to allow in.
Post
This method utilises the agencies Post email address as set in the Agency Details area of the system this will be an internal email address and is suitable for any clients who do not wish to receive invoices via email. When their invoices are delivered from the system, they are sent via email to the Post address where they can be printed and posted out manually.
Email as a Link
This option facilitates tighter controls as we can track when the recipient has downloaded the contents. With this method the system issues an email containing a coded link which the recipient clicks to download their invoice(s):
If the link is not activated the system flags this in the Invoices Not Actioned area within Sales Invoices, where they can be resent. The system records when the documents are downloaded and this information is visible on the Sales Invoice when viewed in the Invoice Display and Invoice Edit areas (this is the cog/audit wheel shown alongside the invoice):
