This tutorial explains the process of timesheet authorisation by the Online Approval method, which is the the easiest, most efficient method for approving a large number of timesheets. Online Approval allows the authoriser to review and approve all candidate-submitted timesheets via the etz portal.
This tutorial follows directly on from the Candidate Timesheet Entry tutorial.
After the candidate has entered their time into the timesheet, the next step is to select an authorisation method. If Online Authorisation is an approved submission method (as defined within the 'Authorisation' tab of the assignment), the list of available authorisers will appear to the candidate, the 'Preferred' authoriser on the assignment will automatically be selected.
Once the candidate has selected the appropriate authoriser and agreed to the accuracy of information declaration and clicked the 'Submit my timesheet for authorisation' button, the following submission confirmation will appear:
And an email notification will be sent to the selected client authoriser. This will inform them that there is a timesheet awaiting their approval and will also invite them to login to review it.
When they log in to the system, they will see a list of outstanding timesheets (including any timesheets submitted to them using the etz Sign method).
The authoriser can view the timesheets individually by clicking on the pencil icon on the left hand side, which will bring up a screen as in the image below.
From here, the timesheet can be approved or rejected (and optionally, downloaded).
Back in the list view, each timesheet can also be downloaded by clicking on the document icon to the right of the pencil icon. Also, multiple timesheets can be selected (using the tick boxes on the right hand side) and verified in one go, by clicking on 'Authorise selected timesheets'.
Authorised timesheets are transferred from the 'Un-Authorised' list to the 'Authorised' list. They are also sent to the 'Online Validation' section of the agency login, so that they can be validated by an agency admin. This is covered in the tutorial Online Validation of Timesheets.
