Here is a step-by-step guide that explains the etz Sign timesheet authorisation process. To summarise, our contractor(s) will log the hours/days worked into the system based on a weekly/monthly basis. The system then emails an authorisation request to you. This authorisation type is known as etz Sign.
As an etz Sign authoriser, you will receive an encrypted link via email every time a contractor generates a timesheet for your authorisation. This will be entitled ‘Timesheet Authorisation Request from *Contractor Name*’.
Once you click the link in the e-mail, you will be presented with a copy of the timesheet….
There is a summary of the week under the section “Units’ Summary”. Please ensure you are happy with the breakdown as this will relate directly to how your company will be invoiced and how the contractor will be paid.
Approving a Timesheet using etz Sign
If you are happy to authorise the timesheet, click the green “Sign" button at the top of the screen. You will then be presented with the following screen for completion in order to authorise the timesheet.
Note: Please ensure that the email address you enter in the "Email Address" field is the same as the email address to which the link was originally sent.
Simply complete the fields above, tick the disclaimer box and click Sign document.
You will see confirmation that the timesheet has been processed.
Once approved, you will receive a return email confirming that the timesheet has been signed for your records. Additionally, the contractor will also receive notification that the timesheet has been authorised and is ready for invoicing.
Rejecting a Timesheet using etz Sign
If you do not agree with the hours/days the contractor has submitted, you may also reject the timesheet. However, you must state the reason for rejection.
Simply click red "Reject" button at the top of the screen and complete the required fields, including a brief Reject Reason.
This will automatically notify the contractor and enable them to amend and resubmit their timesheet. You will receive notification when the timesheet is amended and available for you to sign.
