When you log in to your portal you will see 'My Checklist' and underneath you will see documents to action, this will list all compliance documents that your agency have sent to you, to be actioned. See the 'Action' column to see what needs to be done with each document, ie sign a contract, download and read a document, upload a document etc. The 'Status' column indicates the status of each document, anything with a red circle is outstanding and needs to be actioned.
Clicking on the yellow pencil next to each document will take you in to the document where you can complete the necessary action, as shown in the following examples -
Signing a document - After clicking the yellow pencil for a document that needs to be signed, you will see the following screen, here you can view the document in full, download, print, reject or sign the document.
Once you click on 'Sign' you will be asked to enter the information below and click 'sign document', this will sign the document and automatically send the signed document back to your agency. Please note, there is no option to add a digital signature, ETZ stamps the document with your name, date and time of the signing.
You can view a copy of the signed document from your portal by clicking the 'Signed Documents' tab and then click the yellow pencil -
A signed document looks like the below screenshot - There is a green border around the document and at the bottom of the first page you will see who signed the document along with date/time stamp and the users IP address. Please note, the document does not show a digital version of your signature.
Uploading a document - Click the yellow pencil next to the document request then click 'upload' to attach the relevant document then click upload document. As soon as you upload the document, this is sent to the agency to check and approve.
Once you have uploaded the document and you navigate back to 'Documents to Action' you will see the yellow star to the right of the document upload request, this indicates the document has been sent to the agency and is awaiting approval. Once the agency has approved your uploaded document, the document will move in to 'Signed Documents' and will have a status of 'Document Signed' - Note, there is no actual signature, the status just means the document has been approved by the agency.
